SBA Meeting Notes 8/30/15

 

Attending: Derek, Mary, Brittany, Jess, AJ, Courtney, Crystal, and Bahar (late)

 

Anthony: Let’s call this meeting to order. So everyone has had a change to read the current agenda?

Derek: this should be short because a lot people aren’t here.

Anthony: (read agenda)

Anthony: second to approve?

Brittany: I second.

All: Aye.

Anthony: Does everyone know how to access the minutes? Chanel emails them and they are available on the blog.

Brittany: You can just Google SBA blog.

Anthony: Let’s table approval of last week’s minutes until after Labor Day. The next item is budget. Bahar is not here. She just texted. She is on her way. We will move that to the end.

Anthony: regarding the BBQ. It made more sense to just do the BBQs we have been doing. It will be called the annual Fall BBQ. The date we are shooting for is September; are Wednesdays better for everyone?

Brittany: 2Ls won’t be there.

Anthony: can also do Thursdays. 1Ls have long break

Jess: Thursdays 3L class may be good. Most have Crim pro at 3. It goes until 5.

Anthony: we will do 12:15-130 23rd and 24th.

Brittany: I might not make it. I have fed tax at 1. Might be able to stop by.

Anthony: budget for $1800? Go ahead and will plan around that. Hot dogs, hamburgers, and vegetarian options.

Derek: Drinks?

Anthony: plan through bon appetite. For desserts, we will do cookies.

Derek: one of us has to get a food handling certificate

Anthony: we will just go through bon appetite so we won’t have to worry about it.

Mary: what time will the evening BBQ be?

Anthony: 5:15. Hard to do 5 on the nose. It’s not always feasible. Any other comments, questions, or concerns? The rep at large handles the BBQ.

Jess: so no individual events?

Anthony: No, because if we are doing the BBQ then why?

Anthon: Start-up funds, did we get a few? Don’t want to wait until the next meeting for approving. What are thoughts on online ballot? We will see a list of organization requesting funds and we can say yay or nay?

Crystal: $200 start-up funds?

Anthony: yes

Derek: we don’t have a list to vote on today?

Anthony: it closes tomorrow at midnight.

Bahar: one club doesn’t want to do it. They just want to request the whole three thousand. Not sure what club. He said he had an injury

Jess: oh Nico. Probably the LLSA event.

Anthony: oh that I support.

Bahar: women’s Caucus had a bunch of questions, but they still haven’t applied.

Derek: as of tomorrow we just go and vote?

Anthon: I will create it.

Derek: Voting per a club?

Anthony: yes, yay or nay.

Derek: so should be a yay right?

Anthony: Yes, but just in case. Any other general questions or discussions for moving?

Crystal: I move to start a start-up funds ballot

Mary: second

All: Aye

Anthony: It will be ready Wednesday at the latest, will be available for 48 hours.

Derek: is that a simple majority?

Anthony: yes.

Bahar: 32 so far have applied.

Anthony: If you don’t vote in 48 hours, then your vote won’t count. Only if the request is over $1k, then a 2/3 required.

Bahar: For the budget, I went over with Rebeka and she seemed cool with it. I have the revenue print out in car. For fall, the revenue left over is $28,050. Fall we had $20, 713. Spring will probably be less because it doesn’t count drop outs.

Anthony: Where does the surplus fall?

Derek: Surplus is revenue.

Derek: so right now we have $48k

Anthony: Anticipated spending for the school year is $69 thousand.

Bahar: We can always just move it. Just wanted to make sure clubs have the amounts because we can grant them $3k.

Anthony: Budget for start of the year is $18 hundred, end of the year is the same.

Bahar: Some of it is more than you will spend. Rebeka was telling us to cut down.

Anthony: we can

Bahar: I didn’t want to have to move it from somewhere else if we needed it.

Anthony: this looks great, thank you. If we need to modify it down the road we can.

Bahar: I can email this. I will right now.

Derek: I don’t see us spending $1800 for the BBQ.

Brittany: We might.

Anthony: We have a lot more students this year.

Mary: If its $10/ person it could be.

Derek: the PLSS BBQ budget was $600 and we fed a lot of people

Courtney: Yeah, but that likely didn’t include evening students so that’s why it may be low.

Anthony: Any other comments questions or concerns on budget activities? Let’s move on, if you want any reimbursement related expenses, it must be on the docket first, and if you want it on the docket, you must run first.

Derek: asked about soccer funds. It wasn’t on the docket.

Anthony: I think if you want reimbursement you may have to.

Brittany: You can always do a re-occurring event

Derek: At the meeting we will vote for a standing time.

Anthony: I think going forward you might have to. If there is a problem we can always take it out of the sports and activities committee.

Anthony: Any comments or questions?

Brittany: I got an email from Jordan Davis yesterday about going to a meeting for diversity on Friday. I can’t go.

Anthony: The diversity committee meeting is next Friday. Prof. Bricker is in charge and they want to start brainstorming for activities on campus that promote diversity on campus. I had Nicole and Jordan reach out to different cultural orgs to send members they want to have an input. Bricker is spearheading. If you have any members that want to attend please let Jordan or Nicole know.

Jess: I am usually representative for LLSA, is it okay that I still am?

Anthony: yes that’s fine.

Derek: If we are a liaison, are we supposed to reaching out to them?

Anthony: what committees?

Derek: CDO and sports

Anthony: going forward, if you are chairs of the committee be sure to touch base w/ them and email the chairs.

Courtney: if there are multiple liaisons, does only one of us need to reach out?

Anthony: yes you can decide amongst yourselves. Just to keep an eye on them.

Derek: I got the email with the list, but not the emails of the chairs.

Brittany: you can just type them into pacific email.

Anthony: For the next meeting just reach out to the chairs of the committee. Just to create the link.

Anthony: any other comments, concerns or questions on anything?

Mary: So for diversity should we get in touch with Bricker?

Anthony: yes, I talked to Nicole and Jordan but if you want to contact her, then by all means. Easier to ambush her in her office than to email because she doesn’t check it all the time.

Anthony: Any other questions? Bahar, has anybody requested any funding requests yet?

Bahar: I don’t think so. I would get it from Rebekah right?

Anthony: Yes

Bahar: No, I have only gotten…3 clubs didn’t recur this year, and they closed. In the bylaws it says whatever funding is left in the account is transferred to SBA so we get about one thousand dollars. Anthony just needs to sign.

Anthony: Oh cool. I did. Touch base with Sven to make sure the funding form is being sent to Bahar.

Bahar: I just got put on the event requests so I get every single one and just check to see if they check the box for SBA funding.

Anthony: oh that’s it! Check with Sven any way

Derek: that’s 4 weeks?

Anthony: yes

Derek: that accepts late?

Anthony: yes, but we factor that into consideration when voting.

Derek: what about next week?

Anthony: as long as they get it in within 4 weeks from their event, even if we don’t grant it until later than that.

Jess: I move to end the meeting.

Derek: I second.

Anthony: End of meeting.
