Line Item 1: Approve meeting minutes from 9.20.

AJ: There is an issue with publishing meeting minutes they are approved but do not show up online. Chanel will be contacting Svend to see what is going on.

AJ: Everyone has seen the meeting minutes for this meeting. Is there any discussion on that?

Line Item 4: Clarification on Claw Back Provision

AJ: When you do an event that gets money whether that money goes to charity or into your bank account. The idea is that SBA money does not go in there as well. If you get 3k from SBA and use only 2k then the extra $1,000 goes back to SBA because it is unused because we cannot let profit go into someone’s account or donating money to charities through student funds. Going forward we will be using this provision and past events will remain as we have voted.

Bahar: How do we prove it?

AJ: Before funding request is approved we need their expenses to be given to us and then calculate out how much we take back. Does anyone have questions on how that works? So going forward we’re going to have a few more big funding requests, APALSA, PLSS in the spring, LALSA and BALSA will run close to the $3k. We need to make sure we don’t run through all the money we spend. We need to be a bit more prudent with the clawback provision.

Line Item 5: Planning Dates for Half-Way There and Barristers

AJ: I don’t expect there to be a date today but in two weeks on the 10th we need a tentative date in mind and Rebekah is getting back to me on dates that just don’t work in the spring.

Brittany: We have GLS dates all throughout that so let’s make sure that we take that into account when picking dates.

AJ: We will definitely take that into account. We just want to get the ball rolling on that. Derek, Mary and Courtney get together on that. Derek look into GLS II and then Nikki and Jordan make sure Barrister’s is cognizant on dates.

Nikki: Megan and I met and we think we want to do February 13, people would have gotten their loan money back, far enough from Christmas for people to save up, valentine weekend and we’ve picked out a theme of Old Hollywood. I called Masonic so hopefully they call me back. They’re only open 8-12 to see if we are banned from there or not.

Bahar: If we are maybe we could write a letter saying we’re sorry and please take us in.

Nikki: We really want to make sure it’s in downtown. Do you guys like any of it?

AJ: As long as the space is not too big it’s great

Nikki: It looks like Old Hollywood inside it’s really cool. The library galleria is another spot. We know a lot of the issues last year was more bartenders,

Derek: No tiny juice cups

Nikki: We want it to be more organized. I think it will be super fun.

AJ: I’m going to charge Derek and Courtney with that your date is set in relation to this one. We don’t want people to choose between the two. Last year 2L’s didn’t attend Barrister’s because Half Way there and Barristers were a week apart.

Bahar: $12,170 was how much they sold in tickets last year. Total cost for the event was $25,814.72 less tickets. Budget last year was 14K and last year they spent $13,644.72

Nikki: So 202 tickets. Bahar is there somewhere we can get a spread sheet so we can look at where to save money.

Bahar: Yes, I’ll get it to you.

Brittany: Take into account food allergies

Bahar: Ask if we can have catering or if we have to get there food.

AJ: Do we have any other questions on the two events

Line Item 6: Election Committee Planning

AJ: Dates I’m looking at. Midterms end on Oct. 12-13th so let’s go ahead and have election committee make announcements on the week of 10.5, I ideally want to have the meeting on the later half of the week of the 12th on Wednesday or Thursday because they have a long break. Solicitation period will go until a full week from that 22ish. Election week and campaigning will go from Sat 24 to the 30th. With voting happening that whole weekend. Voting will go from 30-1st. Does anyone have questions on that timeline in general? That way we can have the person on board with us for the first meeting of November.

Line Item 7: Funding Requests

AJ: Kyle Chin is here to discuss the funding request. My suggestion is that we either vote it all down or all forward.

Nikki: People do not need to be here to present unless it’s over $300 correct?

Chanel: People are required to be here if the funding request is for over $250

Bahar: We want everything to be in person so we know where all the money is going.

Kyle: Hannah told me that each individual request is for yoga instructors to be paid for the classes

AJ: I stopped by the class last week and they’re having one next week. There were about 13 people there. I think they’ll be well attended and this is one of the more calming meetings on campus so I fully support all things yoga because anything it takes at this point to be calm.

Chanel: How are you going to self fund future events

Kyle: Don’t have any information going forward we are expecting dues from people so that will pay for classes in the future. Right now it’s about every other week.

AJ: That being said are you going through the same instructor. They’re collecting dues and so that’s when they will start being self sustainable.

Bahar: I have a separate question, Hannah wanted to see if yoga mats could be bought with their start up funds.

Jordan: It seems like it helps people get involved in it if they don’t have the materials already.

Bahar: That’s what I told her that it’s to get started up.

All three requests have been voted on at once.
