AJ: I call this meeting to order. Has everyone had a chance to look over the agenda for today’s meeting.

McGeorge Soccer Club

Soccer Tournament – Diego Vera presenting

Diego: The purpose of this is to have a soccer tournament open to the students at large. 5 players per team for the 29th of this month. The request is for $472.00. We are requesting money for materials, prizes, field rental etc. We have club funds that do not really cover the cost of the event. We wanted it to be a fundraiser but now we really want it to be about getting people active and out having fun. We need to purchase more pop up goals and flags, we also need to purchase first aid kits. Are there any questions?

AJ: Yes, is there a deadline for teams to decide if they want to participate?

Diego: Yes, we haven’t set one yet because we want to make sure we have the funds first.

AJ: What’s the anticipated show up for this?

Diego: We’re expecting 6 teams and also adjusting for more if necessary. 5 players playing one time and so 30 people minimum. Some teams may have 6,7 other teams may have 5. Anywhere between 35-50.

Brittany: Is the date the 29th?

AJ: Yeah that’s dead week.

Diego: We’d be open to adjusting for that because that’s important. We could move it forward a week. We didn’t want it to be during finals time we wanted to be dead week.

Brittany: I would pick the 23rd.

Bahar: There is no event request. There needs to be two forms filled out.

Diego: I remember filling out an event request.

Brittany: I don’t see one on file.

Diego: I can check the records for that to see if we have one.

AJ: Would you be able to send a confirmation to Brittany, Bahar and Chanel? Forward her any confirmation receipt. Unfortunately since we don’t have the funding request we will have to table it.

Brittany: I just have one for the funding request

Chanel: Could we have it on the same day as a end of the year barbecue?

AJ: It’s hard to have it on a weekend and off campus. Is the 16th the day of the soccer tournament?

Nikki: Mock trial try outs are also on that Sunday.

AJ: For all the students who are on POLA they will be having finals the 22nd.

Bahar: It needs to be on the school calendar on the date of the event. I say we make a motion to table it to the next meeting. Since there’s not a set date we can always move to an online ballot if you want to talk to Rebekah on Monday then we can move to an online ballot.

AJ: How it works is you will find out way sooner than the 17th. We need 72 hours for the vote and then we inform the club what they get. If you send Rebekah an e-mail tonight you should hear back from Tuesday.

Bahar: Are you needing a goalie or are you just spending money on only materials.

Diego: We wouldn’t be paying for refs that would be covered by soccer club. We just need money for pop up goals.

Bahar: And you want to give a prize?

AJ: That’s okay only can’t give gifts to guest speakers. How many people do you usually have?

Diego: 16ish.

AJ: Is 30 overshooting it by a fair margin or because it’s a tournament there will be more interest?

Chanel: Last year we had a kickball tournament and I think that was successful. I will make a motion to move this to an online ballot.

Brittany: Second.

McGeorge Rugby Club

Alumni Weekend Pool Party – presenting Connor Worden

Connor: This week we are having the alumni barbecue on April 9, 2016. The pool party is part of the annual rugby alumni weekend. We play an alumni game at Curtis Park in the morning and then students and alumni go to the pool after for a bbq and alumni awards. We have enough money for gifts and the event at Monkey bar. We still need about $600 in total for this event.

AJ: I see you guys don’t have any money in your account. Where does the money come from?

Connor: The alumni association. We know where to get the money from.

Bahar: The request says $500?

Connor: I was thinking about it and I underestimated the number.

Bahar: Also it was late why was that?

Connor: I didn’t know we didn’t have any money. The request was sent in about 2-3 weeks ago.

Jess: This is an annual event?

Connor: Yes

Jess: Is it usually about 20-30 alumni?

Connor: Yes.

AJ: It’s a solid week, not the latest I’ve seen so that’s okay. Just a question going forward when it was Harshawn last year he did fundraising to go on throughout next year so more of it will be able to be covered by the rugby club.

Connor: I’d hope so but we are running out of money because the club is teetering out. The alumni still really like it and are giving the funding. After I graduate and then Diego there won’t be many people left.

Jess: Motion to fund at $400

AJ: Just to be clear money wise what are we looking at?

Bahar: I have plus $1,900 for miscellaneous so there’s an extra request of $2,000.

Derek: I know the clawback from the Kings game is about $500.

Bahar: We didn’t do club clawbacks we need a form for that. AJ and I are working on coming up for a form.

AJ: We’re looking at about $6,000?

Bahar: About 5,000.

Alternative Dispute Resolution

ADR Week – Presenting Anna Lucido

Anna: So this is for ADR week which starts Monday April 18 and this is the fourth year of the competition. The event will cost $1,495.00 and we had a great turnout last year and our speakers wanted to come back. We’re in talks for Crim Law society about possibly cosponsoring the last event but they are not sure if they can provide funds for foods. All of our numbers are based on hard numbers for last year or websites from last year. It’s about $30 for flyers, but we’re paying for that on our own.

Jess: How many people do you expect at each event?

Anna: We had about 30-40 at every event last year and especially with the wide range we’re expecting people from a lot of places to come.

Chanel: So do you have attorney’s speaking at most of your events?

Anna: Justices, attorneys and professors. They’re all either attorney’s or justices.

Nikki: I went to a few of them and they were great.

Bahar: The turnout was really good.

Chanel: What are dates for signing up for competitions and stuff?

Anna: 11th sign ups will open on TWEN, they will have about a week to sign up. Wednesday the 20th it will close and then they will have two days to prepare for the 22nd and 23rd.

Chanel: And this was on time as far as funding request goes?

Anna: Yes.

Chanel: Motion to fund in full.

Courtney: Just clarification is family law cosponsoring just so I know if I have a conflict of interest?

Anna: No they’re not cosponsoring.

Moot Court Society’s: Catherine Hawe presenting.

Moot Court Solicitation

Catherine: I’m here to talk about our Moot Court solicitation meeting. The event will take place on April 12, 2016. The purpose of the event is to recruit students onto the Moot court team. Our event will cost $350 so that is how much we are hoping to get for funding. Our account looks like it has money in it but it owes me $200 so we’re actually in the negative. We should have money coming in for our last event that you funded. We are requesting money for the solicitation event for 2L’s, 2E’s and 3E’s. We want to be able to serve food for attendees. We’re going to have a number of moot court people speak. I’m happy to answer any question about the events. It’s not the end all of whether we are feeding them but we would like to feed them.

Bahar: AJ can you remind me how much each club can request?

AJ: Total of $3,000 throughout the year.

Catherine: Moot court has requested about $500 throughout the year.

Chanel: Motion to fund at $300 since it’s late.

Legal Music Society Appeal

“Talent Representation, Contracting and Managing” Event

Presenting: Derek Ulmer and Neil Negrete

AJ: Legal music society is requesting an appeal, how this works is if an organization is unhappy with their funding. The treasurer decides whether the funding we give them was appropriate or not, the treasurer has to bring a motion to the board and if we want to appeal it, it is a majority that is required.

Derek: So the thing is about the online voting it seemed like less of an interactive process and there was no chance of making any amendment to the amount given or thoughts being thrown out there before voting. It seemed too black and white. If we disagree we can fund partially.

AJ: I can understand that voting online is a weird process and that we weren’t able to talk about it before voting the day of the vote but the online process is fair and we did talk about it at prior meetings.

Chanel: And we do vote online for other stuff and it’s never been a problem before.

Nikki: I have a question, if it was funded partially where would the rest of the funding come from?

Derek: I would pay for it. My thoughts on it is that there is great students interest in this, we are a student board and we are student representatives. This event deserves more than no funding.

AJ: If an appeal is filed it goes to Bahar as chain of command. If the club feels the amount we gave them is inappropriate they fill out the form and then the treasurer determines whether funding was appropriate and if not can vote to have it come before the board again.

Bahar: You know how I voted, I said no and looking at the money we allocated we’re pulling money from everywhere to fund clubs. I have been voting all year that if people have had money in their account that should be used first and then SBA can fund the rest of the event cost. We also take other factors, such as how many students will attend the event and that being said there is no attorney coming to this event. We did have the option of talking about it at multiple meeting including one that no one for this event showed up for. This is nothing personal against you Derek. From where I’m coming from, the reason I voted no the first time and am voting no this time there’s nothing against you guys, I want clubs to have activities on campus but I don’t think it would be fair to have student funding going to a speaker that is charging over a $1,000 for a class that is four hours. Every event we have on campus that’s over $1,000 has provided a networking event and has sold tickets for the event. Nikki recommended that you sell tickets for the event for participating members since it is a 4-hour class yet that was also not taken into consideration for the event either. Looking at the original motion that was put on the table, the way that I voted for that motion and the funding that we have allocated in our account I am going to have to stick to my original vote and say no. I do recommend however that you speak to the speaker and explain that you are a new club and don’t have funding for this event for this semester since you are still being established and rather move this event to the fall, that way you will have the start up funds, you can plan a fundraiser prior to the event and/or sell tickets for people to attend this 4 hour class and we can fund for food/drinks for that event. I’m sorry I know that you are passionate about this and my intentions are not personally against you Derek, I care about you as my friend and I don’t want to vote with bias because of that. Had it been anyone else coming in with that request I would have voted the same.

End of the Year Barbecue Update

Brittany: Wednesday the 20th will be the day for the end of the year barbecue. How many people?

AJ: Mimic the fall cost and subtract maybe 30 from that.

Graduation Party Update

Jess: Just a quick heads up grad party has been approved for blue prynt on Thursday the 19th.
