SBA Minutes 8.16.15

SBA Board Meeting 8/16/15 5pm in the SBA office

In attendance: Nicole, Anthony, Bahar, Crystal, Jordan, Brittany, Mary, Derek, Courtney, Jess

1. Approval of meeting agenda

Anthony: Meeting is in session. Emily Weiser is out ABA representative her role is a little different and she is not a voting members of the board so her attendance does not hinder our ability to make decisions. To the extent available she will be coming to these meetings.

2. Recap of Orientation

Anthony: 1L’s seem very enthusiastic about these things and they are very active. We had over 30 1L’s who were interested in committees.

Nicole: we have 27 just for CDO committee

Anthony: students want to be involved so it is our job to makes sure they have the tools to get involved with what they want. In the last few years it has been hard to get students to commit to committees and this year participation was great.

Jess: Thank you for volunteering

Anthony: Let’s give Jess a hand for putting it together.

Jordan: The mentorship dinner was great and a good way to get 1L’s connected.

Anthony: Mary had a lot to do with it and was encouraging to get the evening event together. Thank you very much Mary.

Mary: Thank you for making that happen.

Anthony: evening students are very much part of our community and one of our goals moving forward is getting our MSL students involved as well.

3. Housekeeping (Anthony)

Anthony: a. Meeting Attendance: a text is fine even if it’s just the night before, sometimes emergencies happen if something happens that’s fine but to the extent that you’re not able to make it send a text to myself and Chanel. b. Meeting time: everyone’s been great about getting here.

4. Start up funding: Budget (Bahar)

Bahar: this is very tentative. I could not see exactly how much money we had because business office can’t give me those numbers until tomorrow when school actually starts. I know we have a surplus and a little extra money so we can always add to whatever area needs money or where we should take away money. If you see anything else in here.

Anthony: Where’s the surplus at in here?

Bahar: Haven’t gotten that yet. From what I saw in Neil’s stuff that doesn’t take in account.

Anthony: How did we do with 1L party budget

Chanel: about $200-300 less.

Anthony: Something else to add to the budget. Each rep is going to be responsible for doing a class specific event for their class. It was about $2 per person and that is something you would plan yourself knowing the availability of the students and what you think they would appreciate. You don’t have to have an event right away just think about things your class would appreciate. Last year I did an ice cream social for our class. It was really just a good way to keep the camaraderie going because when midterms hit moral drops a bit.

Bahar: Added that. Last year they projected annual budget was $66k. Next week I’ll have the final number and we’ll take into account the drops and such.

Anthony: If you can add a line item about start up funding as well.

Bahar: I was going to talk about that when you would like.

Anthony: Miscellaneous what is that? Just kind of reserves?

Anthony: Student representatives in here so that’s what we were talking about with all the reps. There’s a lot of students that will be coming

Brittany: Do I have to do anything for LLM students?

Anthony: You will be doing town halls and end of the year barbecue. 1st year party 1L rep will be put on notice for that. Derek and Mary will handle the half way there party. The start of the year barbecue that will be Brittany’s role as rep at large. We could probably tack that on at the end. We have the budget for all the committee’s. Rugby team will be coming in here to ask for a private line item in our budget. The mentorship program we will be spending money on later but have not yet. We will be doing events to make sure you have met your mentor. Garden and wellness have merged and they will be sharing the same budget. Wellness has $3,500 am I reading that right?

Bahar: last year they had $2,500 and then went past that to $3,500 so I allowed for that.

Anthony: Elections committee there won’t be too much just pizza’s for people coming to get information. Diversity I don’t know how that money will work we will talk to professor Levine and see what he foresees for the next year. Career development did we spend any money on that? I know the CDO sponsors those events and most of that comes from there meeting. Barrister’s ball did Neil talk to you about funding from Sacramento bar association.

Bahar: Last year was about 26k.

Nicole: Will ticket prices be the same?

Anthony: Committee will throw us a number and we will take it into consideration.

Bahar: CSO club funding we raised it because we went a little over to 22k last year and so I bumped it up.

Anthony: The rule is that you’re allowed up to 3k per year in funding from SBA there are certain claw back provisions and such that we will touch on when that comes up. ABA conference I sent you an e-mail about that and it was much cheaper than expected because Emily and I shared a room. This year will be in San Francisco so it will be much cheaper. As it is now we have spent about 1,500 or so on this last trip, I will have the exact number when we turn in our reimbursement form to Rebekah. We will need to get the numbers on how many students are here to figure out exactly what the funding is. If we have any drops this semester that will be reflected in what we have during the spring.

5. Start up funding:

Bahar: Last year we had 38 clubs and we had given then $150. They have a form and timeline that they need to go by. If it is before the date we will accept it. Price wise we were thinking we could do an increase since there is only one new club.

Anthony: We were thinking about raising it that’s something we will consider now.

Bahar: August 31st is the day we were thinking of. There will be an update of the club funding form as well so people will be mostly coming up to us for start up funds and we will have Rebekah send out an e-mail to the students.

Anthony: If you can touch base with Rebekah or Neil about if all of the clubs asked for it.

Bahar: Everyone asked for it except for MESA so I’m pretty certain they all asked for it.

Anthony: We now have a little bit of a surplus. I don’t want to spend our entire surplus this year because we will have to be prudent for next year. So the way the bylaws are now and it is accessible in the e-mail Chanel sent. I think we should have some language in there that SBA should increase or decrease based on reserve funding.

Bahar: I think that’s a good idea because recruiting is important and it is good to put that language in there. It will encourage clubs to get the 1L’s involved.

Derek: Is there a timeframe to use the money of?

Anthony: No.

Jess: As a president of a club last year I know they became very helpful. I know Sam and I were really trying to keep into budget and there was lots of pizza because everything else was so expensive.

Anthony: So I think making it an even $200 would be to the benefit to the new students. For now I think we can send an e-mail to the CSO’s for $150 and I will draft the language for the next meeting for us to vote on and after we vote then we can send out a follow up e-mail to let them know they have more money. So we will draft language next week and how long will it take the form to get updated?

Bahar: all he has to do is change the due date number. So I’ll follow up Monday or Tuesday.

Anthony: Any other questions on start up funding or budget. Okay let’s move onto the next.

6. Committee update:

Nicole: We accepted resumes and such all summer and we had to solicit others. For Diversity committee Samantha and Mia will be chairs, they both organized diversity weeks in undergrads and Samantha has organized three in the past and Mia has done one before. We have 7 other 1L’s that are willing to help as well.

Anthony: That committee gets big very fast because CSO’s that are interested can add.

Nicole: For elections we have Michael and Aman.

Jordan: Michael wants to be chair and so if that’s the case we can add him and if we need we can add me in there.

Anthony: The thing about elections is that it only becomes relevant in October and the spring. We just need a board member to be our liaison. We also have two 1L’s as well on it.

Nicole: For wellness we have Ala Rasheed who wants to be in charge of garden. We also have Wesley Lunkley and Michelle Evans. We chose Michelle as the chair so she is our chair. We also have 9 1L’s who want to participate in it. Barrister’s we have Megan green as chair and Keri Firth and I was going to volunteer my time as member and liaison. For Career we have Brandi and Keith smith and Rachel Simona. Keith is very interested in helping students with interview skills.

Jordan: He’s done hiring and resume work there.

Derek: I’ll go ahead and be the liaison for that since I work there.

Nicole: And for sports and activities we have Ryan wright and Suliman Khan and we are going to talk to them and see which one of them want to be chairs.

Anthony: Most of their duties are in the spring.

Nicole: If there’s anyone who would like to be the liaison. In the bylaw it seems Jordan and I should be the liaisons. If anyone is interested?

Brittany: I will be one for diversity

Mary: I will too.

Nicole: I will do barristers

Anthony: I will do that with you.

Nicole: We need wellness

Chanel: I will help with that.

Jordan: I thought it would be nice to do something one a month for that.

Nicole: Career, wellness and diversity should be doing one event per month we’re hoping. The chairs that have been put in place are super motivated and so we know they really want to be involved. Does anyone want to double up with Derek for career?

Jess: Sure.

Nicole: Anyone for sports?

Courtney: What is the time commitment

Anthony: Well sports doesn’t meet much it’s just they are in charge of administering three sports which is rugby, basketball and soccer.

Jordan: in the bylaws it says they must meet once a month.

Courtney: I will help with sports committee.

Nicole: I said when I was running I wanted wellness to put up posters. So we were thinking of putting up something in the cafeteria to put up gym hours and such.

Jordan: We want something where we can let people know what’s happening around campus. If every club wanted to put out a once a month flyer we could get the clubs to tie together and co sponsor events.

Chanel: Let’s try and add a incentive like best event on campus to get people to participate.

Anthony: I propose that we add something like that to next weeks agenda. Dean McGuire informed me of a curriculum committee that needs two students. Is anyone interested in doing that? They need a student at 4pm.

Jordan: I would love to see an evening and day student as the two students.

Mary: I will ne the evening.

Nicole: I will be the day students.

Anthony: Thank you Nicole and Mary for volunteering. Additionally there will be other committee’s that will be needing students in the future. There are contracts committee’s and such that need to have students volunteers. Once that becomes pertinent we will put students out there. Anyone have any last minute on that?

7. Upcoming Events

Anthony: Rebekah wants us to come together for any ideas for future events for students. We will put on Chanel make a note for adding to the agenda in three weeks that we could add events for each class students. What I was thinking is to start off with something informal with each class starting in the something like a root beer floats event. I think it’s going to be really great if anything to just be something to look forward to in the future. What are thoughts on stress buster events?

Chanel: Funding through Rebekah or SBA?

Anthony: Probably SBA

Chanel: Sounds good

Nicole: I love it

Anthony: We will talk about in future meetings.

Brittany: How about something that is not milk related.

Anthony: Okay

Chanel: What about a movie night on the quad.

Anthony: Any other ideas or questions?

Anthony: What’s going on with that Derek?

Derek: I just need to pick it up and am waiting for but Paul needs to set up a table. I had money allotted for it last year.

Anthony: There will be a Keurig in the library and I guess your next step would be to touch base with the library staff and were just waiting for us to touch base.

Derek: Talked to them last week and Dan will be our contact on that.

Anthony: We will add that on next weeks agenda. Anyone have any anything else?

Mary: How will the mentorship program work for with meeting with mentees. Will we get e-mails about future events.

Anthony: Yes we will be sending e-mails out about future events. One last thing for all of us to discuss. The CDO wants us to get our formal pictures done as well as our group picture. Pictures will not take a long time, I would prefer for it not to be on a Sunday unless we can make it work for a 15 minute increment during the week.

Jordan: Would be easiest to do it before or after our SBA meeting.

Anthony: Next week lets do formal attire and do head shots outside or in the court room maybe and we will do a group picture outside. We will meet on campus at 4:15 for photos next week.
