SBA Meeting 10.18.15

AJ: I officially call this meeting to order

AJ: Meeting minutes are posted does anyone have any questions or concerns from last week?

AJ: I do have to add one thing and that is there was no official vote of who was appointed to the committee chairs. We didn’t approve it officially so I think a retroactive vote is in order so we can put that at the end of the agenda? Do we have any other comments and concerns about the agenda?

Elections Committee Update:
AJ: Want to touch base on some dates. People who are interested and have received their solicitation packets are due to turn them in on the 21st. Campaigning will start on 26th-29th. Will end on 6pm and voting will start on the 29th until November 2nd. We will count and certify results 3rd, 4th and 5th. They will be at our meeting on the 8th.

Jordan: A little staggered back from where we were. It seems like we’re a couple days behind of what we actually had planned.

AJ: Rebekah wanted us to cut back on time for campaigning. The process with TWEN had issues last year so she wanted more time getting results in from that.

Water Filter Presentation:
Brandon Chaidez: For those of you who don’t know me I’m a 1L. It is my effort to gain a water filter system. It is a fixture that you can add to the water fountains we currently have. It would dispense water at a much quicker rate and also you won’t have to bend your water bottle to get water. It’s a hole in the wall that automatically dispenses. There is a water filter on it. There are two I have been researching one ranges in 500-700 that is without installation or delivery. I just wanted something that all students could access. Inside the office of student life they have access but only until 5. Having something in the library that is open almost 24/7 will allow the student body to get in there. It will save time and water quality will taste better. It will help recruit more students that are environmentally interested.

Crystal: Does the water filter need to be replaced?

Brandon: Some do and some don’t. The one with the filter is a bit more expensive.

Jess: How often would they need to be replaced?

Derek: Depending on how much it would have to be used.

Mary: Is this in the library’s budget to cover?

AJ: The concern will be drilling into the wall and cut a hole.

Derek: I don’t think that’s an issue honestly. The way it looks here is that it sits.

AJ: So they will have to replace the water unit.

Brandon: The two different models I saw was 400-800. One dispenses water faster than the other.

AJ: The first step would be talking to James in the library and he sent you our way. If we cover the cost would they be willing to replace or add? Assuming funding is there is James okay with having that installed? Because that would be something that would take some time to do.

Derek: I would also talk to buildings and grounds.

AJ: After this meeting I will cc you with them and create a dialogue and I will update the board on the feasibility of this. Assuming that it is a possibility then we can have a vote on funding or another avenue of funds to make this happen.

Crystal: There is no water fountain at all in the lecture hall

AJ: They are doing an audit of classroom C and lecture hall so the school is looking into that. So now we have a presentation from sports and activities committee.

Sports and Activities Committee Request:
Ryan Wright: Outside of doing stuff on campus like we usually do I am trying to get people to goto a football game. Tehre’s been a positive response on interest. There’s about 1000 request to supplement the cost of 30-40 peoples football tickets. It’s a good chance for people to get to know each other. On top of that we’re not doing a lot on the activities committee.

Brittany: What game is it?

Ryan: Cal v. Oregon State game. I wanted to leave it open based on interest.

Jordan: What’s the money for? You said to supplement the tickets? Do you need money up front?

Ryan: I ened money to secure 20 tickets and then based on interest I will allocate the money further. I was trying to supplement tickets by 20 for $40 tickets and also that would supplement money for food. I’m working with Stephanie from sports society to meet with CAL general counsel. She is trying to have us meet with her for a later game maybe

AJ: How much is in the sports budget?

Bahar: 1000

AJ: We can dip into your account as well. I’ll have to ask Rebekah on this.

Ryan: Contacted Mary and sent it to you.

AJ: We will talk to Rebekah about this.

Ryan: November 15th or 21st in the dates.

AJ: What will happen on this is we will submit this request to Rebekah to discuss. If Rebekah has an issue on this you will have to goto the main CSO website to officially submit it.

Chanel: What else do we use the sports budget for?

AJ: I think more than just refs for basketball.

Bahar: Committee’s are different than CSO’s. Sports and activities committee has a $1,000 budget. For a club it is a max of $3,000.

AJ: I don’t think it would be prudent to have all of this come out of committee. It would have to be split because that’s just what sounds right. Deciding if it gets approved we would have to vote on it then. If sports club has money in the account they would be able to help as well.

Bahar: If you work with the sports club you can co-sponsor and that way only go $500 into your budget and $500 to the sports club.

AJ: You don’t have to co-sponsor this we will table this to next weeks meeting. You have to fill out the funding request form so that it is official. Do you think any issues would pop up Brittany?

Brittany: No, unless there’s an event that day.

Ryan: I don’t think sports club will want to open this up to students using their funding.

AJ: We have a pot that all clubs have access too. They are allowed to request for up to $3,000. We will table this to next week once you’ve filled out the proper forms.

Funding Requests: Tax Law Society
Kyle Creasey: I am with tax law society and next week we have one of our big events as a club. It’s going to be a day in the life of a tax attorney. We have three different attorney’s that will be here so it gives us a nice variety which will draw a lot of students. We want $245 for Panera bread platter because we are expecting 30 students and our first meeting had 11. The reason it was late is because we weren’t sure how many attorney’s we would have.

AJ: Do you have any start up funds left?

Kyle: No. We have $50 in our account. We have an overestimation right now just to make sure we are asking for enough.

Derek: This seems like something the CDO would sponsor and partially fund.

Kyle: That is where the extra $100 would come from so that covers the other part.

AJ: I understand more people are coming but how do you expect to triple attendance of your first meeting?

Kyle: The first meeting was only tax students but we are hoping this next meeting more people will come and the fact that it is Panera bread. When our first meeting happened there was three other general meetings happening as well. We are going to use the blackboards to advertise the event and we have facebook and twitter as well.

Bahar: Did you fill out the CSO forms to put it on the calendar?

Brittany: Yes it’s there

AJ: How much does that pay for Panera?

Kyle: We will get 10 half sandwiches, 2 liter sodas and add taxes.

AJ: So if no one has any questions does anyone have a motion?

McGeorge Legal Music Society:
Neil Negrete: President of MLMS. Seminar hosted by. He’s going to review how to license your music, copyrighted materials. Three different clubs are hosting IPSA, Sports and us totaling to 70.27 per club. Total for each club is 210.80. CDO will cover all printing costs.

AJ: Is there something about how travel needs to be regulated in any way?

Neil: I used Google maps to figure out the cost

AJ: There’s a thing when you travel and have to use their own cars. When federal employees travel there’s a certain amount per gallon and we are bound by that. I just don’t want us to approve a mileage thing because there might be an extra step that goes into that. If someone has any additional questions?

Bahar: Have the other clubs and you been meeting and with advertisements if we do fund in full our logo needs to be on it.

Neil: Yes I’m in constant contact.

AJ: Have you talked to IPSA about whether they are willing to put more on behalf of IPSA. It would be a conditional thing.

Neil: I know their budget is pretty low. We were struggling to get enough people for the Youtube trip and the Pixar trip so it may be tight for them.

Crystal: How do we track where the funds are coming from?

AJ: SELS can ask for $3000 minus the 70.27 etc.

Bahar: Did you have start up funds?

Neil: We have about 60 left from that. Our guest speaker only wants travel costs and does not require any payment so that is where the travel expenses goes.

AJ: Any conditional funding requests

Nikki: Motion to fund in full conditional on travel expenses and if IPSA is willing to fund more.

McGeorge International Law Society
Sarah Kanbar: Game Night
We are really trying to bring back the club and bring more unity between LLM and international students. We are asking for $225 to cover food and drinks and want to host that in the student center. We’re asking people to bring their own board games. We want to try and get Chicago Fire pizza. We are thinking $200 for Chicago Fire and $25 for non-alcoholic beverages.

Mary: Have you talked to strategic games club?

Sarah: Those are different games than what we were planning. We want a different atmosphere for our evening.

AJ: Have you used all your start up funds? Do you plan on having any other events this year?

Sarah: We do it’s the second one we are asking for today. We will want to do more next semester.

AJ: My only concern is that if we give funding for both you will still have a bit of money in your account.

Jess: Why is it that you don’t want to touch your MILS account money?

Sarah: We want to do more in the spring so we want to save up for that. We spent a little more than $200 for our first event. We want to partner with Dijoni so some of our money will go to that. We have a good international law program here so we want to make our club more active.

McGeorge International Law Society
Sarah Kanbar: How I got my Internship summer abroad panel. That got the highest event last year we are going to talk about how they got them and their experiences with them. We will help people figure out how to get those internships and network. There are a lot of them that are required to be applied before winter break. We are going to have Mexican food.

AJ: Have you talked to CDO about funding since this is career orientated?

Sarah: We have not looked into that yet.

AJ: We can vote on this conditional on CDO funding. They have panels like this.

Derek: If it’s career focused they will help.

Bahar: You have a lot of money in your account right now so I think that you should use some of that instead of hoarding it for future events.

Military Law Society
Will Ford: We had a flag flown in Afghanistan and we are having a plaque made for McGeorge. I had it flown in honor of military veterans and we are having a presentation of a flag and plaque to the Dean. It’s about $400 but we are covering at least half with our funds.

AJ: What other events do you have planned for the year?

Will: We throw an end of year dinner and we supplement for that. We also have a work speakers series in the spring. Also some veteran volunteer events throughout the year. We are bringing in veteran alumni and are expecting about 40 people.

Derek: Do you know where it’s going yet?

Will: No I don’t know where it is yet. It is a morning ceremony.

JBC: A day in the life funding

Chanel Saidi: It is an event that will bring in people who have gotten their JD but are not pursuing a career as a practicing attorney. It will help give some perspective on careers where people with JD’s can use their degree to do other things. It was a very successful event last year and had about 35-40 people in attendance. We will be bringing someone who works for the NRA and two other McGeorge grads.

AJ: Do we have any motions or conditional motions?

Jordan: Move to fund in full contingent on CDO funding?

AJ: We just have to approve all of the committee chairs as they already are. I trust you remember or at least saw the names and did not have any concerns. Is there any quick discussion of chairs? That being said retroactive votes on committee chairs?
